Working Group Chapter Data Request

Purpose

This procedure provides a timeline and steps for Milwaukee DSA working groups or other groups/campaigns to request chapter member, volunteer, or press list data for use in chapter projects. 

  • Project examples: volunteer recruitment; member outreach; targeted individual press contact outreach 

Data is exported from Action Network and may only be used for projects that must be performed outside of Action Network. For assistance determining whether your project should be performed inside or outside of Action Network, contact the Secretary at mke@dsawi.org

  • Inside Action Network example: sending an email to people who RSVPd for a specific Action Network event
  • Outside Action Network example: uploading member cell phones to Spoke for mass texting

1. Request & Receive Data

What’s included?

Work with the Secretary to determine the appropriate data set for your project. Data provided is limited to what is relevant for the project. Common criteria include:

  • Membership status or dates
  • Contact info: email, phone etc.
  • Working group volunteer tag
  • Press list (for non-press-release purposes; press releases go through the Communications Officer)

How to request?

  • Email the chapter at mke@dsawi.org attn: Secretary with your initial request. 
  • Include an anticipated end date for your data usage.
  • Specify any criteria you would like to have included (for example, “all current members with home phone” or “all current and recent members plus working group volunteers with email and cell phone” etc.). Include any questions you have about what data to use.
  • Work with the Secretary to finalize your data set and determine what unique identifier you will use for tracking (Action Network ID or similar). The Secretary will provide the data within 2 weeks of the finalization of the data set. The Secretary additionally notifies the Executive Committee of all requests to help ensure appropriate campaign timing.

2. Track & Submit Data Updates

What to track?

  1. Updates to provided data fields:

Requestors are required to submit to Milwaukee DSA any updates of provided data fields collected during the course of their data usage. For example, updated contact info, returned mailer info, etc.

  1. New data fields related to the project:

Requestors are additionally required to provide volunteer/event participation data where applicable (must include email collection if not using Action Network). For example, for data used for volunteer recruitment, submit a final list of all individuals who should receive a working group volunteer tag.

The Secretary may require additional kinds of data based on the nature of the data usage.

  1. New individuals:

Requestors are, by default, asked to submit the above types of data for new individuals interacted with in the course of their data usage as well; however, requestors may omit new individuals at their discretion. 

For example, you may choose to submit some volunteers who you know to be interested in DSA, but omit other volunteers who you know to only be interested in one-time volunteering and who do not want further interaction with DSA.

How to submit?

  • Work with the Secretary for guidance on what data to submit based on the nature of your project. 
  • Submit to mke@dsawi.org.
